Description Storage + Organization (S+O) OPERATIONS COORDINATOR Support JLL’s Storage + Organization (S+O) team with the development, implementation, and sustaining of our client’s global product storage strategy by providing critical operational and administrative support to the Storage + Organization team and its clients. The primary focus of this position is ensuring that S+O’s day-to-day operations run seamlessly, including team scheduling, updating reports in Excel and Smartsheets to track projects, updating PowerPoints for team members to conduct client presentations, client communications, supply procurement and vendor relations. This position also frequently represents S+O as the first contact for new clients, and as such is responsible for ensuring that each client’s experience is helpful and positive. This role may require physical activity including working on one's feet for a minimum of three hours at a time as well as repeatedly lifting items of up to 50lbs. Day to day duties: • Own and manage all client communications through the S+O mailbox within Outlook. Expectations include professional (friendly), direct communication. • Oversee the S+O calendar, including scheduling support sessions on behalf of S+O and overseeing team assignments for each session within Outlook. • Ensure that S+O support sessions are set up for success by working with key partners to schedule delivery of necessary supplies for each session. High level of communication via Slack, email and phone. • Provide direction and necessary information to key partners, vendors, and service providers to ensure excellent coordination and execution of work. • Become an expert in end-of-lifecycle processes and S+O’s operational procedures and best practices and assist with training/education of clients and other S+O team members on these processes and practices. • Serve as a trusted resource and assist team members in troubleshooting operational and administrative issues. High level of Excel skills needed ! • Learn and become an expert in navigating core technology assets, systems and databases that support S+O’s operations, such as Smartsheet and Box. • Support the Operations Manager with updating and maintaining standard operating procedures in S+O’s playbook. The goal is to be proactive and help lighten their load and support. • Assist with the onboarding process for all new S+O hires (once fully trained) • Organize and maintain S+O’s team home, ensuring that all necessary supplies are kept well-stocked, and oversee supply deliveries. • Assist the Operations Manager with team events including planning and scheduling gatherings and ordering meals. • Other duties and initiatives as assigned. . Experience Level Intermediate Level Pay and Benefits The pay range for this position is $25.00 - $27.00/hr.
